Description

The Public Theater is seeking an enthusiastic, passionate, and detail-oriented arts administrator for the position of Major Gifts Coordinator. This individual will report to the Director of Major Gifts and work closely with the Major Gifts team and other sub-departments within Development. Following the grand reopening of The Delacorte Theater in Central Park in Summer 2025, The Public is entering an exciting new chapter.

The Major Gifts Coordinator will play an integral role in helping The Public meet its ambitious fundraising goals, providing administrative and stewardship support to Frontline Fundraisers, preparing donor correspondence, managing donor information in Tessitura, processing ticketing requests from high-level funders, and assisting with donor and prospect research.

Responsibilities

  • Provide daily administrative support to the Frontline Fundraising team, with a focus on supporting the Major/Individual Gifts and Trustee annual campaigns, as well as the Capital Campaign

  • Submit gift forms for contributions from Trustees, Major/Individual Gift donors, and Capital Campaign donors

  • Ensure the fulfillment of benefits for Major Gift/Individual donors and Trustees, including proper donor crediting

  • Prepare and distribute acknowledgment letters, thank you notes, invoices, renewal letters/emails, and other donor stewardship/solicitation correspondence

  • Draft personalized donor and prospect outreach on behalf of the Frontline Team and Executive/Artistic Leadership and craft bespoke proposals for production and programmatic support Process Public Theater/Joe’s Pub performance ticket requests for high-level donors and manage the Broadway Concierge Service, providing excellent customer service to all

  • Record donor-related activity in Tessitura, including Frontline Fundraiser actions, call reports, donor responses, portfolio changes, relationships, contact details, and other pertinent information

  • Create and update bios for Partners and high-capacity prospects, execute ad hoc research projects, and craft briefing memos for donor meetings and leadership hit lists for events

  • Manage expense reporting for the Senior Director of Development, as well as process invoices for other Major Gifts team activity

  • Participate in regular in-person special events and fundraisers throughout the season

  • Provide other administrative logistical support / other duties as assigned

Requirements

  • 2+ years of experience in a non-profit or for-profit; fundraising or ticketing experience preferred

  • Knowledge of and passion for the theater / performing arts industry a must

  • Problem-solver and creative thinker with the ability to multi-task, establish priorities, pivot quickly, and perform under tight deadlines in a very fast-paced environment

  • Exceptional verbal and written communication skills with the ability to listen and effectively express ideas and thoughts

  • Ability to interact at the highest level with a wide range of constituencies

  • Ability to collaborate as part of a large, highly-efficient team

  • Exceptional initiative, attention to detail, and discretion

  • Experience with Tessitura (or similar CRM); fluent in Microsoft Word, Excel, and PowerPoint; familiarity with Canva or similar design software a plus

  • Must be able to attend regular evening events and performances as necessary; occasional weekend events required

Salary Range and Employee Benefits

The salary for this position is $58,000 annually.
