Status: Full Time
Non-Exempt/Hourly Compensation: $24.85/hourly, Full-Time, Non-Exempt
The Advancement Associate plays a critical role in the efficient operation and essential stewardship efforts of the Advancement Department. A significant portion of this role is focused on the steady execution and maintenance of administrative processes that help lay the groundwork for the team to both meet its ambitious fundraising goals and enable continued engagement with supporters beyond their gifts.
Responsibilities
Stewardship
Drives the acknowledgments process to ensure timely and grateful written responses to supporters who have made annual and/or programmatic (non-membership) gifts for both stewardship and tax record purposes. This is a continuous effort, that includes the draft/review process as well as ensuring the acknowledgment letters are signed, mailed, and logged.
Generates content for acknowledgements, with a focus on impactful storytelling, for continued use throughout each season as well as for specific purposes.
Coordinates the creation of invitation lists for a range of Advancement events in partnership with the Events team.
Collaborates with staff across the museum to create engaging exhibition stewardships reports, and assists with other written donor communications as needed.
Collaborates with and supports the Chief Advancement Officer, Corporate Giving, Major and Planned Giving, Foundation and Government Giving, and Membership teams to provide timely, strategic stewardship to an array of donors.
Advancement Operations
Prepares materials for internal meetings, including weekly Advancement Staff meetings and quarterly meetings of the Board of Trustees, in collaboration with the Office of the Director and other departments, as needed.
Assists with key attendee briefings and related resources for donor events, including exhibition openings, the annual gala, and other smaller events in partnership with colleagues on the Advancement Operations and Events teams.
Support the Chief Advancement Officer in managing the departmental expense budget and related tracking and data entry.
Collaborates to maintain constituent records in constituent record management database (CRM) and assists with other CRM functions, such as data entry, reports, mailings, and other purposes.
Manages the general Advancement phone line and email address daily, providing excellent and timely customer service and support.
Provides support for departmental gift processing.
Represents The Phillips Collection and provides on-site assistance at fundraising events.
Performs other duties as required.
Requirements
Bachelor’s degree
1-2 years of work experience
Ability to work collaboratively as part of a dynamic team
Excellent interpersonal and communication skills
Superb writing skills, experience with business letters or other client communications required
Superlative time management and organizational skills with meticulous attention to detail
Ability to organize and prioritize work to efficiently meet both recurring and project-based deadlines effectively
Ability to work with precision and think critically to complete complex projects
Ability to act with sensitivity and discretion while working with confidential information
Familiarity with Altru, Tessitura, or other CRM database software
Ability to interact with external donors, patrons, volunteers, and VIPs, as well as internal colleagues
Ability to work occasional evenings or weekends for in-person events, and online events, as needed
Knowledge of and passion for the arts, and especially visual arts, preferred
Salary Range and Employee Benefits
$24.85/hourly, Full-Time, Non-Exempt
